Pharmaceutical booth design: audiences, layouts and rules: a stand designed and rendered in ExhibitionBase Studio

In short

A pharmaceutical booth is shaped by promotional rules as much as by design: product claims must match approved labelling, some content may only be shown to healthcare professionals, and congress booths separate promotional, medical-information and scientific areas. Calm, clean design with good meeting space works best.

Key points

  • Promotional area, Medical information, Scientific / disease area, Meeting space are the core zones.
  • Avoid: mixing promotional and scientific content on one wall.
  • Avoid: sending graphics to print before medical-legal review is complete.
  • Avoid: giveaways that break the applicable code.
  • See the template and trade show guides linked below for pharmaceutical companies.

Who visits and what they want

Prescribers, specialists, pharmacists, hospital formulary teams, nurses and medical society members at congresses; distributors and licensing partners at industry shows such as CPHI. Visitors are time-poor and scientifically literate.

What to show

Mode-of-action animations, disease-awareness content, approved product information, clinical data summaries and, at partnering shows, pipeline and manufacturing capability. Physical exhibits are rare; screens and well-designed graphics carry the story.

Zones for a pharmaceutical stand

ZonePurposeWhere it goes
Promotional areaApproved product messages and materialsMain aisle frontage
Medical informationAnswers to unsolicited scientific questions by medical staffSeparate desk, clearly signed
Scientific / disease areaNon-promotional disease educationDistinct zone with its own graphics
Meeting spaceKOL and partner meetingsSemi-private pods or rooms
Core zones for pharmaceutical companies. Small stands combine them; large ones give each its own space.

On a 3 × 3 m stand, keep the first two zones and book meetings elsewhere. From about 36 m² every zone fits; see stand sizes for what fits at each size.

Materials, lighting and graphics

Clean, light surfaces, generous white space and restrained colour let data and imagery read clearly. Screens need anti-glare surfaces. Lighting should be even and neutral, avoiding drama that looks out of place in a scientific setting.

For detail on light levels and colour rendering, see stand lighting; for wall graphics, see graphics and branding.

Starting conversations and capturing leads

Let healthcare professionals approach in their own time: congress visitors resist being stopped. A short, clinically focused animation on the aisle screen and staff who open with a question about the visitor's patients work better than a pitch. Record medical information requests separately from sales leads.

Rules and practicalities

Promotional codes (such as EFPIA in Europe, PhRMA guidance in the US and local codes) and congress rules govern what may be shown, to whom and how. Some congresses prohibit promotion of products not approved in the host country. Every graphic, video and giveaway should pass medical and legal review well before print deadlines.

Venue rules on height, open sides, fire safety and services still apply; see venue approval.

Common mistakes

  • Mixing promotional and scientific content on one wall.
  • Sending graphics to print before medical-legal review is complete.
  • Giveaways that break the applicable code.

Frequently asked questions

Can a pharma booth show unapproved products?

Generally not in promotional areas. Rules depend on the country, the congress and the industry code; scientific exchange may be allowed in a clearly separate area. Your medical-legal team decides.

Why separate medical information from sales?

Codes require unsolicited scientific questions to be answered by medical staff, not sales representatives, so congress booths provide a separate, signed medical information desk.

What size stand does a pharmaceutical exhibitor need?

Size to the activities: about 9 m² for one conversation point, 18–36 m² to add demos and a meeting table, and 50 m² or more for meeting rooms and hospitality. See [stand sizes](/guides/topics/exhibition-stand-sizes).

Can AI design a pharmaceutical booth?

AI can produce a complete concept quickly: [Studio](/ai-booth-designer) lays out the zones above at real scale and renders the result. A stand builder still checks structure, services and compliance before building.
